Cunnies Codex Email privacy notice

Cunnies Gummies uses Cunnies Codex Email to help its authorised operators handle customer-service requests. This notice covers that application and the services it uses for this work. The application connects to our business mailbox, hello@cunniesgummies.com. Customers do not connect their own Google accounts to it.

Information and purposes

The application reads correspondence, sender and recipient information, message dates and identifiers, labels and relevant attachments. It uses this information to understand requests, investigate delivery or product issues, prepare and send replies, organise correspondence and track unresolved work. This can include information you choose to provide, such as your contact details, delivery address, photographs or health-related concerns.

Where needed, it checks related Shopify customer and order records and Appstle subscription records. Authorised workflows can update supported order or subscription details, process remedies and verify the results. Case records can include order, payment and refund transaction references. Full payment-card details are not required for these workflows.

Services used and information shared

Google provides mailbox access and email delivery. OpenAI Codex processes relevant case information to help assess requests and prepare responses. Shopify and Appstle provide the related order and subscription functions.

Pinecone supplies business-knowledge search. The application publishes Cunnies business knowledge for retrieval and submits case-related search queries to find relevant policies and product information. Query text may include information derived from your request.

A private operator dashboard hosted through OpenAI Sites receives case summaries, task status, review questions and correspondence excerpts. Its current reporting route includes up to the latest three messages for an unresolved task, limited to 2,400 characters per message body. Operator feedback and decisions return to the pipeline for handling.

Selected case information and proposed remedies may be sent to an authorised private Telegram destination for review. Relevant contact, order, tracking and delivery information may also be shared with our fulfilment centre or delivery providers to investigate or resolve your request.

Records and retention

Case records, correspondence evidence, attachment reviews, operational notes, decisions and action receipts are retained in operator-managed workspaces and backups. Relevant information is also processed or stored by the services described above.

The pipeline preserves audit and transaction-reconciliation records, including records used to prevent duplicate replies or financial actions. Archiving a conversation, removing its Inbox label or closing a task does not delete the underlying information. There is currently no single automatic deletion period covering every record, backup and service copy.

Contact hello@cunniesgummies.com to request access, correction or deletion of information relating to your request. Please provide enough information to identify the relevant correspondence or order. Requests need individual review, including any information needed for unresolved transactions or applicable retention requirements; immediate deletion from every system is not promised.

Managing the Google connection

The business mailbox owner can remove the application's access through their Google Account connections settings. Removing access stops future access through that connection but does not automatically delete information already retained by the application or its service providers. Google explains this in its account connections guidance.
